CONCERT AT THE PARK BANDSTAND. THE PRESIDENT DISCOVERED THAT A LICENSEE
WOULD BE NECESSARY TO SELL HAMBURGERS, UNLESS THEY WERE BOILED FIRST. BUT
NOT FOR HOT DOGS OR SAUSAGES. 6. A
MOTION WAS MADE AND PASSED TO SELL HOT DOGS AND SAUSAGES ONLY. HOWEVER THE
PRESIDENT WILL LOOK INTO THE POSSIBILITY OF HAVING A LICENSED FOOD HANDLER
HELP US. NO DATE HAS BEEN SET FOR CONCERT IT
WAS DISCUSSED THAT WE ADVERTISE EARLY FOR THIS FUND RAISER. 7.
MEMBERS DISCUSSED ESTABLISHING A SCHOLARSHIP FUND OF $250 FOR THE WINNER
OF A COMMUNITY ORIENTED ESSAY. I.E. " GIVING BACK TO THE
COMMUNITY" - TO BE DISCUSSED FURTHER 8.
MARK MENTIONED THAT HE IS COMPILING A LIST FOR THE NEXT C.E.RT CLASS
AND HOPES TO HAVE ENOUGH INTERESTED TO START ON 03-07-05 IF NOT
IT MA Y HAVE TO WAIT UNTIL THE FALL. 9.
THE DISTRICT MANAGER OF "BLOCKBUSTERS" HAS EXPRESSED AN INTEREST
TO WORK WITH THE H.C.P.A.A. AND POSSIBLY CO-SPONSOR A TOYS FOR TOTS DRIVE
THIS YEAR ALONG WITH OTHER COMMUNITY ACTIVITIES - TO BE DISCUSSED FURTHER 10.
A MOTION WAS MADE AND PASSED TO SEND OUT A "FOLD-OVER" LETTER TO
ALL MEMBERS WHO HAVE NOT PAID THEIR DUES FOR 2005 REQUESTING THAT THEY
PLEASE DO SO. IF THEY CHOOSE TO REMAIN ACTIVE. 11.

MINUTES OF MEETING TUESDAY, NOVEMBER 9, 2004
The President called the meeting to order at 7:00 p.m. He welcomed the nine (9) attending members, followed by introducing John Barbuto, guest speaker for the evening. Mr. Barbuto is the current President of the Hingham Citizens Police Academy Alumni Association (hereinafter referred to as HCPAAA). After giving a brief history of the HCPAAA, Mr. Barbuto gave examples of how the Hingham group was established. One motivating factor in creating the Hingham association was in visiting the Quincy Alumni Association and using their "procedures" as a model. HCPAAA took the Quincy model of operation and tweaked it to fit the needs of their organization.
First order of business for the HCPAAA was to idetify the following action steps: * Nomination and voting in of officers: - President - V-President - Secretary - Treasurer
* Drafting and implimentation of a Mission Statement.
* Establishing monthly meeting schedule- the first Monday of each month. Meetings to consist of general information, followed by a guest speaker. Some examples of guest speakers to date: - A representative from the FBI. - A representative from the ATF. - A speaker who gave presentation on credit card fraud. - A speaker who spoke about security for the Tobin Bridge. It was also noted that at times the "outside community" is invited to attend and hear invited guest speakers. This action step helps to broden information to the community as a whole.
* Identify that any cash expenditures be addressed to members at monthly meeting, and that a vote of 21 members is needed to pass said spending.
* To ensure a good relationship is maintained at all times with police department personal.
* Assist in the sponsoring of police/community activities. Examples: Celebrity basketball and softball games. DARE program.
* Creation and distribution of a quarterly newsletter to all members.
* Goal of the HCPAAA is to work in conjunction with, and support, the police department and the community as a whole.
Next, Mr. Barbuto gave examples on ways in which the HCPAAA recruits members:
* The President of the HCPAAA speaks at the first session of each scheduled class.
* There is always an alumni member to greet and "be there" at each class session.
* There is an alumni member present at each class graduation ceremony. - It was also mentioned that a Selectmen and State Senator have also attended past graduation ceremonies.
* Mr. Barbuto (as President of HCPAAA) ensures a follow-up congratulatory email is sent to all graduating members, including an invitation to attend an alumni meeting.
In short, it's about maintaining a presence and showing support for the association. As Mr. Barbuto advised, the key to maintaining a strong alumni association lies in maintaining interest and keeping the message going out to the community.
Mr. Barbuto then extended an invitation to attend and hear Major Frank Curtis (U.S. Army Reserve) who is the guest speaker scheduled for November 17th. The presentation will be held at Hingham Town Hall, beginning at 7:30 p.m.
From the corner stone created five years ago, the HCPAAA is about to graduate their 17th. class, and is currently showing 103 members of the alumni association.
The "take away" from Mr. Barbuto's presentation is simple:
A. Maintain a constant open line of communication between the police department and all alumni members. B. Maintain a constant open line of communication between all alumni members and the community.
Mr. Barbuto concluded his presentation by advising that it's a given fact that there is always a "core group" in any type of organization - ie; those that will always participate. Always keep that in mind and you'll never get "defeated".
Further issues discussed in meeting were as follows:
* The need to update all email addresses for all graduates of our alumni association. * Discussion and final decision to use HCPA as our acronym. * The need to have coroporate sponsorship for our alumni association. * The need to create a mission statement for our alumni association. * To further visit the need for a monthly newsletter.
* Discussion to add our association name working in conjunction with the Toys For Tots Campaign (Hanover area) and utilizing the resource of BLock Buster Video as the corporate sponsor. Mark advised he would do the necessary ground work to "make it happen". * Discussion surrounding the need for volunteers to assist with the Sr. Citizens and Cardinal Cushing holiday dinner scheduled for December 1, 2004 from 6:00 - 8:00 p.m. given at the Hanover Middle School. Volunteers are needed to assist elderly on and off bus, and to also help serve the holiday meal. Five members volunteered. Mark has list of names.
* Discussion on scheduling next alumni meeting, keeping in mind the holiday schedule for the month of December. - Motion was passed to hold a board members only meeting on Wednesday, December 8, 2004, at Imperial Gardens Chinese Restaurant (Rte 53.) at 6:00 p.m. - Motion was passed to hold next alumni members meeting Tuesday, January 11, 2005. Meeting to be held at Hanover Police Department class room, beginning at 7:00 p.m.
Motion to adjourn meeting was made by Wade. Meeting was adjourned at 9:00 p.m.
